TRAVELERS GUARANTEE & ST. PAUL FIRE & MARINE INSURANCE COMPANY of Canada are hiring for a Receptionist. He or she will be reporting to the Administration, Manager. The Receptionist is accountable for cultivating an excellent first impression of Travelers Guarantee & St. Paul Fire & Marine Insurance Company through exemplary telephone service, welcoming visitors and expediting the flow of deliveries. The incumbent will also provide administrative support to various corporate departments on an ongoing basis.
Job Specifications:

Answer all incoming calls in a prompt and professional manner; appropriately directing and announcing visitors to the appropriate branch or corporate employee.

Promptly receive visitors, and enter each visitor into the visitor registration log including unannounced (walk-in) visitors

Maintain an up-to-date telephone list of all offices, emergency contacts, building management, etc

Maintain an up-to-date knowledge of the telephone system; provide relief staff with comprehensive telephone training.

Maintain log and follow-up on temporary access cards issued to ensure they are returned

Document corporate employees who are reported out of office and advise relief staff as necessary

Co-ordinate and maintain the use of Corporate meeting facilities, booking meetings

Place service calls for Corporate office building maintenance as required

Place service calls for fax machines, photocopiers, etc. - liaise with associated vendors

Responsible for sending out email notifications, sickroom key, subway tokens, Taxi chits, mailing cheques, mailing monthly broker reports, stuff envelopes, etc.

Assist other departments with administrative duties as assigned by the Manager of Facilities

Assist HR with new hire process and health and safety procedures
Job Qualifications:
-
A minimum of 2 years previous customer service experience and/or reception.

Experience in administration an asset

Strong interpersonal skills with an outgoing personality.

Ability to deal in a professional manner with internal and external customers.

Attention to detail

Excellent oral and written communication skills.

Effective team player with the ability to multi-task effectively.

Ability to work well with frequent interruptions.

Proficient word processing skills using Microsoft Office

Must be self-motivated to meet daily expectations with minimum supervision
